This Privacy Policy explains how Chiron Consulting Inc. (“Chiron,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when providing Sign Work Pro (the “Service”). It should be read with our Terms of Service.

Your data belongs to you

As between you and Chiron, you retain all ownership and rights in the documents, contacts, signatures, messages, templates, and other information you or your authorized users submit to the Service (“Customer Data”). Customer Data does not become the property of Chiron.

You give Chiron only the limited permission needed to host, secure, process, transmit, back up, and display Customer Data to provide, maintain, and support the Service. We do not sell Customer Data or use document contents for advertising.

1. Information we collect

We collect information you provide, including account and brokerage details, names, email addresses, phone numbers, contacts, support communications, subscription information, templates, uploaded documents, signature information, and instructions for sending or signing documents.

We also collect information generated through use of the Service, such as login and session information, device and browser details, IP addresses, timestamps, delivery status, signing activity, and document audit records. Payment providers may collect payment-card and billing information directly from you.

2. How we use information

We use information to provide and secure accounts; prepare, send, sign, store, and audit documents; deliver notifications; process subscriptions; provide support; prevent misuse; troubleshoot and improve reliability; comply with law; and enforce our Terms. We will not use personal information for a new incompatible purpose without consent or other lawful authority.

3. Information uploaded about others

Customers may upload information about clients, signers, employees, and other individuals. The customer controls that information and is responsible for having appropriate authority, providing required notices, and obtaining any required consent. Chiron processes it only to provide the Service and as otherwise required by law.

4. When information is shared

We disclose information only as reasonably necessary:

to recipients and authorized users chosen by the customer;
to service providers supporting hosting, storage, email, SMS and messaging, payments, security, and customer support;
when required by law, court order, or lawful government request;
to protect the rights, safety, and security of users, Chiron, or the public; or
in connection with a proposed business transaction, subject to appropriate confidentiality protections.

Service providers may process information in Canada or other countries. Information processed outside Canada may be subject to the laws and lawful-access requirements of that jurisdiction. We require service providers to use information only for the services they provide and to protect it appropriately.

5. Cookies and similar technology

Sign Work Pro uses essential cookies and browser storage to keep users signed in, protect forms and sessions, remember limited interface preferences, and maintain an active support chat. These technologies are necessary for the requested functionality. We do not currently use them for third-party behavioural advertising.

6. Retention and deletion

We retain information while an account is active and for as long as reasonably necessary to provide the Service, meet legal and accounting obligations, resolve disputes, maintain security, and enforce agreements. Customers may delete eligible drafts and account content through available controls or request account closure.

Completed documents, certificates, signing records, and audit trails may need to be retained to preserve transaction integrity, establish consent, or satisfy legal and professional record-keeping requirements. When information is no longer required, we delete, anonymize, or securely dispose of it in accordance with applicable requirements and backup cycles.

7. Security

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. Access is limited to authorized people and providers who require it for their work. No internet service can guarantee absolute security, and users must protect their credentials and devices. We will respond to security incidents and provide notices when required by law.

8. Your choices and privacy rights

Subject to applicable law, you may ask to access personal information Chiron controls about you, learn how it has been used or disclosed, correct inaccurate information, withdraw consent, or request deletion. Some requests may be limited where information must be retained by law, protects another person’s privacy, or forms part of a completed transaction or audit record.

If your information was submitted by a brokerage, agent, or other customer, that customer may be responsible for responding to your request. We will assist them as appropriate. We may verify your identity before completing a request.

9. Children

The Service is intended for business and professional use and is not directed to children. A person must be legally able to enter an agreement or use the Service under the authority of an organization.

10. Changes and contact

We may update this policy to reflect changes in the Service, law, or our practices. We will change the effective date and provide reasonable notice of material changes.
